Finance Manager
U.S. based remote work position reporting directly to the President

This is a part-time position (approximately 15–25 hours per week), with flexibility based on workload. The role has the potential to grow over time based on the needs of the organization and the strengths of the individual.

About the Position
Simply Smiles is seeking a highly capable candidate for the Finance Manager position. This is a key role responsible for the day-to-day financial management of Simply Smiles U.S. and Mexico-based operations.
We are looking for someone motivated to apply their experience, talents, and skills in order to make a difference in the lives of children in need.
The Finance Manager tracks and manages all financial activity for the organization, making possible informed decision making and program implementation.
By upholding the high standard of excellence that defines Simply Smiles this role plays an essential part in sustaining the vital trust and support of our donors and community.
This is a U.S.-based remote position reporting directly to the President.

Qualifications & Characteristics
We are seeking someone who brings both technical capability and strong personal integrity.
Required
Demonstrated experience in bookkeeping and financial management
Excellent organizational skills and attention to detail
Ability to manage multiple responsibilities and shift efficiently between tasks
Strong and consistent communication skills
Commitment to maintaining a high standard of excellence in all work
Preferred (but not required)
Experience working in a nonprofit organization
Spanish language proficiency (professional or conversational)
Additional Expectations
Ability to manage existing systems while identifying opportunities for improvement and increased efficiency
Professional references (minimum of three) will be required

Key Responsibilities
Financial Management & Bookkeeping
Manage daily financial transactions (money in and money out)
Maintain accurate and up-to-date financial records using QuickBooks and other systems
Reconcile bank and financial statements regularly
Closely monitor financial activity and cash flow
Reporting & Oversight
Prepare internal financial reports
Support budgeting and financial planning
Maintain fixed asset tracking
Ensure all financial records are accurate and aligned across our systems
Audit & Compliance
Prepare and lead the annual audit and required filings, including assembling all documentation and ensuring audit and filing readiness
Work closely with the external accountant and auditor
Ensure business compliance requirements, including annual charity status renewals and all 501(c)(3) and incorporation-related filings
Maintain organized and audit-ready financial records
Payroll & Benefits Administration
Manage payroll processes, ensuring accuracy and timeliness
Coordinate and administer employee benefits, including health coverage and retirement plans
Maintain payroll and benefits records in compliance with applicable regulations
Serve as point of contact for payroll and benefits-related questions and needs
Operations & Administration
Manage bill pay and financial obligations
Oversee insurance policies and serve as point of contact
Donor Financial Tracking
Manage financial components of the donor database
Accurately and fully record contributions
Generate and distribute donation acknowledgments, receipts, and reporting
Help maximize the effectiveness of donor tracking systems
Additional Responsibilities
Implement ongoing improvements to financial systems and processes
Additional responsibilities as needed or assigned to support the organization
